Terms of Service

These Terms govern use of Troop, a booking, attendance and communication platform for children's activity clubs ("the Service"), provided by [Company legal name], a company registered in England and Wales (company number [00000000], registered office [registered address])("Troop", "we", "us"). By creating an account, or by a club administrator inviting you as a guardian, you agree to these Terms.
1. Who uses Troop
Troop has three kinds of user:
- Club administrators— staff at a subscribing activity club ("the Club") who manage classes, bookings, coaches and billing.
- Coaches — club staff who take attendance registers and view class rosters.
- Guardians— parents or carers who book classes, manage their family's details, and pay fees on behalf of a child.
The Club is the data controller for the children and families it enrols (see our Privacy Policy). Troop is the data processor acting on the Club's instructions, and in limited respects (billing, account security) also a controller in its own right.
2. Accounts and eligibility
You must be at least 18 to hold a guardian, coach or admin account. A guardian account is created either by a club administrator inviting you, or by you booking a class directly through a club's public booking page. You are responsible for keeping your login credentials secure and for the accuracy of the information you provide about yourself and any child in your care.
3. Bookings, fees and payment
Class and camp prices are set by the Club, shown before you confirm a booking, and charged via Stripe. Troop (via its payment infrastructure provider) takes a small platform fee on each transaction, disclosed to the Club separately — this does not change the price a guardian pays. Refunds, cancellations and waitlist handling are at the Club's discretion; Troop provides the tools but is not a party to the underlying booking contract, which is between you and the Club.
4. Waitlists and catch-up credits
If a class is full, you may join a waitlist. Spaces released by another family's reported absence are offered automatically to eligible waitlisted families on a first-accept basis, subject to the Club's policy. Catch-up credits, where enabled by the Club, expire after the period the Club has configured and have no cash value.
5. Safeguarding and accuracy of information
Essential-information fields (e.g. allergies, medical notes relevant to participation) exist so a Club can run a session safely. You are responsible for keeping this information current. Troop is not a medical record system and essential-information fields must not be relied on as a complete medical history — always inform Club staff directly of anything safety-critical.
6. Acceptable use
You agree not to: misuse the Service to access another family's data; upload unlawful, abusive or unsafe content into free-text fields (including essential-information and incident reports); attempt to circumvent access controls; or use the Service in a way that could endanger a child.
7. Service availability
We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. Planned maintenance will be communicated to Club administrators where practicable.
8. Liability
To the extent permitted by law, Troop's liability for losses arising from use of the Service is limited to the fees paid by the Club in the 12 months preceding the claim, except for liability that cannot be excluded by law (including for death or personal injury caused by negligence, or fraud).
9. Termination
A Club may close its account at any time; guardian accounts are removed when a Club closes, or on individual request (see our Privacy Policy for how to exercise your data rights). We may suspend an account that breaches these Terms or poses a safeguarding risk.
10. Changes to these Terms
We'll notify Club administrators of material changes by email at least 14 days before they take effect.

These Terms are governed by the law of England and Wales.
